UNISIGN Visual Information Systems Industry and Trade Inc. (“UNISIGN” or the “Company”) attaches great importance to the privacy, security and protection of personal data.

This Personal Data Protection and Information Security Notice has been prepared in accordance with the Turkish Personal Data Protection Law No. 6698 (“KVKK” or the “Law”) and other applicable legislation in order to inform data subjects about the purposes for which personal data is processed, the methods by which it is collected, to whom and for what purposes it may be transferred, how long it is retained, the rights of data subjects, and the information security principles implemented by UNISIGN.

1. DATA CONTROLLER

UNISIGN Visual Information Systems Industry and Trade Inc. acts as the “Data Controller” within the scope of the Turkish Personal Data Protection Law No. 6698 and is the legal entity responsible for determining the purposes and means of processing personal data and for establishing and managing the data recording system.

UNISIGN adopts as a fundamental principle the processing and protection of personal data in compliance with the KVKK and applicable legislation and the implementation of necessary technical and administrative security measures.

2. PERSONAL DATA PROCESSED

Within the scope of applications and communications made through the UNISIGN website, communication channels, telephone calls, call center, e-mail, social media platforms, WhatsApp and other communication methods, the following categories of personal data may be processed:

  • Name and surname,
  • Telephone number,
  • E-mail address,
  • Contact information,
  • Application, request, suggestion and complaint information,
  • Audio data and voice recordings, where processed during telephone conversations,
  • Other information provided within the scope of communication and customer relationship processes.

Personal data is processed only to the extent necessary, depending on the nature of the data subject’s interaction with UNISIGN.

3. PURPOSES OF PROCESSING PERSONAL DATA

Personal data obtained by UNISIGN may be processed for the following purposes:

  • Communicating with data subjects,
  • Receiving, evaluating and resolving requests, applications, suggestions and complaints,
  • Providing information about products and services,
  • Managing customer relationship processes,
  • Ensuring and improving customer satisfaction,
  • Fulfilling obligations arising from agreements to which UNISIGN is a party,
  • Improving product and service processes,
  • Conducting marketing activities,
  • Conducting advertising, campaign, promotional and informational activities where consent has been provided,
  • Managing call and communication processes,
  • Improving service quality,
  • Ensuring legal and commercial security,
  • Ensuring business continuity,
  • Fulfilling obligations arising from applicable legislation.

Personal data is processed in accordance with the general principles set out under Article 4 of the KVKK and the personal data processing conditions specified under Article 5 of the Law.

4. TRANSFER OF PERSONAL DATA

Personal data collected by UNISIGN may, to the extent permitted by applicable legislation and for the purposes specified in this Notice, be transferred to:

  • Authorized public institutions and organizations,
  • Persons and institutions legally authorized to request information,
  • Suppliers and service providers from which UNISIGN receives services,
  • Technology, communication and infrastructure service providers,
  • Relevant persons or institutions where necessary for the fulfillment of legal and contractual obligations.

Transfers of personal data are carried out within the framework of the conditions set forth under Article 8 of the KVKK and other applicable legislation.

Where consent has been provided for the sending of commercial electronic communications, contact information may be shared with third parties from which UNISIGN receives services solely for the purposes specified herein.

5. METHODS AND LEGAL GROUNDS FOR COLLECTING PERSONAL DATA

Personal data may be collected verbally, in writing or electronically through:

  • Electronic forms available on the UNISIGN website,
  • Telephone and call center conversations,
  • E-mail correspondence,
  • Social media platforms,
  • WhatsApp communication channels,
  • Other physical or electronic communication channels used to contact the Company.

Personal data is processed on the basis of the legal grounds specified under the KVKK. Where explicit consent is legally required, personal data is processed only after obtaining the data subject’s explicit consent.

6. COMMERCIAL ELECTRONIC COMMUNICATIONS

Where the data subject provides consent, personal data may be used by UNISIGN for direct or indirect marketing activities.

Within this scope, communications relating to the following may be sent using the data subject’s contact information:

  • Advertising,
  • Promotions,
  • Campaigns,
  • General and special advantages,
  • Product and service promotions,
  • Market research,
  • Surveys,
  • Customer satisfaction activities,
  • Informational and promotional content.

Such communications may be carried out via short message service (SMS), mobile applications, instant notifications, e-mail, automated calling systems, telephone calls, wireless communication technologies, social media and similar electronic communication channels.

Where consent is provided for commercial electronic communications, personal data may be shared with third parties from which UNISIGN receives services, solely for the performance of such activities and limited to this purpose.

The data subject reserves the right to withdraw consent for commercial electronic communications at any time.

7. RETENTION OF PERSONAL DATA

Personal data processed by UNISIGN is retained for the period required for the purpose for which it is processed and in accordance with applicable legal obligations.

Data subjects may request the deletion or destruction of their personal data where the relevant conditions under Article 11 of the KVKK are met.

Where the applicable retention period expires or the reasons requiring the processing of personal data cease to exist, personal data shall be deleted, destroyed or anonymized in accordance with applicable legislation.

8. INFORMATION SECURITY POLICY

UNISIGN considers information security to be one of the fundamental elements of corporate governance in order to protect its corporate reputation and reliability, ensure the security of information assets and maintain essential business activities with minimum interruption.

Within this scope, UNISIGN adopts the following as its primary information security objectives:

  • Protecting information assets that it processes, stores and shares with other organizations in accordance with the principles of confidentiality, integrity and availability,
  • Identifying information assets and their security requirements,
  • Identifying and assessing information security risks and implementing the necessary controls,
  • Continuously developing and improving the information security management system,
  • Assessing risks arising from corporate activities,
  • Monitoring technological developments and changes,
  • Ensuring business continuity by minimizing the impact of information security risks,
  • Ensuring compliance with national and international regulations, applicable legislation and contractual obligations,
  • Responding rapidly and effectively to information security incidents,
  • Minimizing the impact of information security incidents,
  • Maintaining and improving the level of information security through a cost-effective control infrastructure,
  • Protecting corporate reputation against adverse effects arising from information security incidents,
  • Ensuring the security of personal information within the scope of the Turkish Personal Data Protection Law,
  • Providing training aimed at improving employees’ information security awareness and competencies.

All employees and relevant persons operating within UNISIGN are responsible for acting in accordance with the established information security objectives and contributing to the protection of the information security system.

9. SECURITY OF PERSONAL DATA

UNISIGN takes the necessary technical and administrative measures to:

  • Prevent unlawful processing of personal data,
  • Prevent unlawful access to personal data,
  • Ensure the secure retention of personal data,
  • Protect personal data against unauthorized access, alteration, loss or disclosure.

Information security controls are regularly reviewed and continuously improved in line with technological developments, current risks and organizational needs.

10. RIGHTS OF DATA SUBJECTS UNDER THE KVKK

Pursuant to Article 11 of the Turkish Personal Data Protection Law No. 6698, data subjects have the right to:

  • Learn whether their personal data is being processed,
  • Request information if their personal data has been processed,
  • Learn the purpose of processing their personal data and whether it is being used in accordance with such purpose,
  • Learn the third parties to whom their personal data has been transferred domestically or abroad,
  • Request correction of personal data where it has been processed incompletely or inaccurately,
  • Request the deletion or destruction of personal data where the conditions prescribed by law are met,
  • Request that correction, deletion or destruction operations be notified to third parties to whom the personal data has been transferred,
  • Object to any result arising against them as a result of the analysis of processed personal data exclusively through automated systems,
  • Request compensation for damages arising from the unlawful processing of personal data.

11. APPLICATIONS AND CONTACT

You may submit your requests regarding your rights under the KVKK to UNISIGN.

Applications will be evaluated and concluded as soon as possible and, in any event, within 30 days depending on the nature of the request.

12. EFFECTIVE DATE AND UPDATES

This Personal Data Protection and Information Security Notice may be updated by UNISIGN where deemed necessary due to changes in legislation, Company activities, service processes or information security requirements.
